How content is organized
DocSpade organizes documentation in four levels. Each level contains the one below it.
Organization`-- Space `-- Knowledge base `-- ArticleOrganization
An organization is your company or team. It owns everything else: its people, its spaces, and the documentation sites it publishes. Each organization has its own web address for its documentation, and its own home page that lists the sites you have published.
Space
A space groups knowledge bases that belong together, such as a product, a department or a customer program. A space is also where you decide how documents are reviewed: its style guides apply to the knowledge bases inside it, unless a knowledge base chooses its own.
Use more than one space when different groups need different people, different review rules, or a clear separation between audiences.
Knowledge base
A knowledge base is one documentation site. It holds a set of articles, arranged in a navigation menu, and has its own name, look, home page and settings. When you publish, you publish a knowledge base.
Article
An article is a single page of documentation. Each article has a title and a URL name (called a slug) that stays the same even if you later change the title, so links to it keep working.
People and roles
Everyone belongs to an organization with one of four roles.
| Role | In plain terms |
|---|---|
| Owner | Runs the organization and can do everything an admin can |
| Admin | Creates and configures spaces and knowledge bases, and manages people |
| Member | A teammate who works in the spaces and knowledge bases they have been given |
| Guest | An outside collaborator who can only reach what they have been given |
Inside a knowledge base, a person also has one of three roles.
| Role | Can |
|---|---|
| Viewer | Read the knowledge base |
| Editor | Write and edit articles, and arrange the navigation |
| Publisher | Everything an editor can, and publish the site |
Owners and admins can do all of these everywhere in their organization.
A person can only have a role on a knowledge base if they are in its space.
